Getting Started
How do I add my first inventory items?
Go to Inventory, choose Add Item, enter the item name, quantity, unit, category, and optional price or expiration date, then save. You can add items manually, by barcode scan, by invoice scan, or by voice count depending on your device and plan.
How do I invite team members?
Open Settings, choose Team, enter the teammate’s email address, select their role, and send the invitation. They will receive a secure invite link to join the account.
How do I set up suppliers?
Go to Suppliers, choose Add Supplier, and enter the supplier name plus contact details. Once suppliers are saved you can connect them to inventory items, receiving checklists, and supplier performance tracking.
Voice Counting
How does voice counting work?
On mobile, open Voice Count and speak the items and quantities you counted. InvoShelf transcribes your voice, extracts structured inventory entries, and either saves confident matches or sends uncertain items to review.
What can I say during voice counting?
Say natural phrases like “three cases of lettuce, twelve bottles of ketchup, and four pounds of chicken expiring Friday.” You can include quantities, units, item names, expiration dates, prices, categories, and suppliers.
Why did my item go to manual review?
Items go to review when confidence is low, the item does not clearly match existing inventory, or you mentioned price or expiration information that should be checked before saving.
Barcode Scanning
How do I scan a barcode?
Open the scan option from Inventory on a supported mobile device, allow camera access, and point the camera at the barcode. InvoShelf will look for an existing item match or help you create one.
What if my barcode is not recognized?
If the barcode is not recognized, add the item manually and save the barcode with it. Future scans can then match that code to the correct inventory item.
Invoice Scanning
How do I upload an invoice?
Open Invoice Scanning or Receiving, choose Upload Invoice/Receipt, select the file, and review the extracted items before confirming them into inventory or receiving records.
What file types are supported?
Invoice scanning supports common image files and PDFs, including JPG, PNG, HEIC where supported by the browser, and PDF uploads.
Why did some items not get extracted?
Some items may be skipped when the invoice image is blurry, cropped, handwritten, low contrast, or formatted in an unusual way. Review the results and add any missing items manually before confirming.
Pace Tracking
How does pace tracking work?
Pace tracking compares current quantity, usage history, reorder points, supplier lead time, and upcoming demand signals to estimate how long inventory will last.
How are reorder recommendations calculated?
Recommendations use current stock, average usage, configured reorder points, par levels, lead times, seasonal dates, and traffic forecasts where available. InvoShelf shows suggestions, but you stay in control of supplier orders.
What is a par level?
A par level is the ideal amount of an item you want on hand after restocking. It helps InvoShelf show whether current stock is healthy, low, or needs attention.
Quick Count
How do I use Quick Count?
Open Quick Count from mobile, choose the category or items you want to count, enter quantities as you move through the list, and review the summary before saving.
Can multiple staff count at the same time?
Yes. Multiple staff can count assigned areas or categories at the same time. Review saved results before relying on them for final inventory decisions.
How do I resume a paused count?
Return to Quick Count and choose the saved or paused count when prompted. InvoShelf keeps your progress so you can continue without starting over.
Waste Log
How do I log waste?
Open Waste Log or choose Log Waste from an inventory item, enter the quantity, reason, date, and optional note, then save.
How are waste insights calculated?
Waste insights group waste by item, cost, reason, and date patterns. Ordering-less recommendations are only made for expired or overproduction waste. Spills, drops, and damage are treated as handling issues, while spoiled waste points to storage or more frequent smaller orders.
Suppliers
How do I add a supplier?
Go to Suppliers, choose Add Supplier, enter the supplier name and contact details, then save. You can attach supplier information to inventory items and receiving checklists.
How is supplier performance calculated?
Supplier performance uses receiving history, missing items, damaged items, incorrect quantities, lead time, and delivery issues to summarize reliability trends.
Billing
How does the free trial work?
New accounts start with a 14-day free trial. You can explore the selected plan during the trial and cancel before it ends if InvoShelf is not the right fit.
When will I be charged?
Your card is charged after the 14-day free trial ends for the plan selected at signup. Reminder emails are sent before the trial ends and before renewals.
How do I cancel?
Open Settings, go to Subscription and Billing, and choose the cancellation option. You can cancel before the trial ends to avoid being charged.
